Job Purpose

Supporting two Directors - providing efficient and effective support in an extremely busy, demanding and fast paced role. Providing support with their professional and personal commitments.

Key Duties & Responsibilities

Supporting all administrative needs of two Directors including but not limited to;

  • Extensive, complex diary management including organising appointments, meetings, personal appointments, high profile appearances and providing itineraries both personal and professional
  • Travel arrangements and reservations both domestic and foreign including trains, flights, chauffer pick-ups and provide detailed itineraries
  • Credit card/ account reconciliations, household/ personal purchases and returns, dealing with invoices and handling bill payments, collating and filing expenses
  • Event/ conference planning – corporate events to family celebrations
  • ‘Gatekeeping’ and dealing with correspondence, preparing communications and publications, acting as a first point of contact, cultivating relationships with key stakeholders
  • Home office management including some IT support, office supplies etc
  • Assisting with some household duties and running errands
  • Some minute taking and transcribing dictation
  • Conducting or preparing research that Directors may require, preparing paperwork for meetings
  • Manage, review and improve office systems
  • Liaising with colleagues, suppliers and clients
  • Various ad hoc requests

The above list is not exhaustive, the role will be wide and varied and the candidate must be flexible, willing and able to accommodate a range of tasks and requests. 

Experience & Knowledge

The Personal Assistant should have/be;

  • Extensive experience supporting at least C-Suite or HNW individuals, minimum 5 years of experience in a similar role
  • Excellent working knowledge of Microsoft and Office 365, at the very least should have advanced level skill in Word and Outlook. Someone who is generally ‘tech savvy’ and forward thinking in terms of IT
  • Significant level of tact and discretion and the ability to remain unflappable and calm under pressure
  • Highly organised, proactive and positive. Able to use own initiative, be methodical and have a good attention to detail even under pressure
  • Confident and able to communicate at all levels, personable – an ‘ambassador’ for the Directors
  • Ability to effectively balance competing priorities, be focused and resilient and build relationships quickly
